Program Assistant (temporary)

MIUSA seeks a part-time Program Assistant to work with our dynamic team. The position is anticipated for approximately 5 – 6 months working 20 – 40 hours per week. This position is based in Eugene, Oregon, USA and reports to the Program Manager. Salary commensurate with experience.

Duties and Responsibilities

  • Assists and supports Program Managers and other team members with the planning, preparation, and implementation of MIUSA programs, including (but not limited to) the following, as assigned:

MIUSA Exchange Programs (approximately 90%): 

  • Assists Program Managers and other exchange team members with the planning, preparation, and implementation of MIUSA exchange programs. Tasks may include:
  • Assists with logistical arrangements for travel, workshops, meetings, and activities, including transportation, meeting venues, meals, supplies, disability-related accommodations, etc.

  • Coordinates production of materials in alternative formats as needed

  • Revises and updates exchange-related forms and materials as needed

  • Communicates with participants of inbound and outbound exchange programs

  • Works on exchange programs as assigned to ensure full staff coverage during the exchange program (including some evenings and weekends)

  • Escorts, supervises, and/or assists exchange program participants as assigned to ensure participant health, safety, and wellbeing

  • Communicates with host families and other community members as directed

  • Provides research support to Program Manager(s) as directed

  • Assists with the coordination of workshops and other program activities

  • Assists with preparing for and coordination of meetings and presentations with host families and other community members

  • Maintains accurate and well-organized files and records related to programs, including correspondence, application materials, resources, and program materials

  • Maintains and develops related content for MIUSA’s social media outlets (i.e. Twitter, Facebook, Instagram), as directed

  • Ensures accurate and prompt entering of exchange-related information into appropriate databases

  • Works with MIUSA exchange team to ensure accurate inventory and organization of basement storage area

  • Accepts and completes tasks for other MIUSA projects, as directed

General Responsibilities (approximately 10%):

  • Supports general office-wide tasks, including answering phones, retrieving the mail, greeting office visitors, and maintaining office appearance

  • Conducts database entry

  • Effectively describes MIUSA in phone and written correspondence

  • Adheres to MIUSA’s personnel policies and procedures

Qualifications:

  • Three years of college education or equivalent; B.A. or B.S. preferred, in international studies, disability studies, education, recreation, or related fields

  • International exchange or international development experience preferred

  • Understanding of inclusion of people with disabilities from a human rights perspective; experience with the inclusion of people with disabilities in international development or international exchange preferred.

  • Experience working in a non-profit setting

  • Excellent detail-oriented, organizational and prioritizing skills

  • Excellent typing and computer skills, demonstrated proficiency using Microsoft Office applications and the internet

  • Excellent communication and cross-cultural skills

  • Experience coordinating groups and programs

  • Ability to communicate effectively via e-mail, telephone, and other mediums

  • Competence in a language in addition to English preferred

  • Knowledge and skills in Excel, Word and social media; experience with InDesign, photography, videography, and photo and video editing software preferred

  • Is CPR/First Aid certified prior to hiring or will get certified before working on an exchange program
